Connect Church Community Builder (CCB)
CCB is where your people, forms, groups and attendance live. Ministry Toolkit reads from CCB on every sync, and writes back only for specific features you turn on (like pushing a group roster or creating a first-time visitor).
Setting this up takes a few minutes. Your CCB Master Administrator (or anyone who can edit system wide settings in CCB) has to approve the connection, and you need to be an Administrator in Ministry Toolkit.
Step 1: Connect
If you're creating a new workspace, the setup wizard asks for your CCB subdomain and who approves the connection, then walks you through it. To connect later:
- Go to your avatar > Workspace Settings > Integrations > Church Community Builder.
- Type your CCB subdomain: just the part before
.ccbchurch.com. If you sign in to CCB athttps://gracechurch.ccbchurch.com, typegracechurch. - Click Connect to CCB, sign in to CCB and approve.
Not the Master Administrator? Click Send a link instead and copy the link to them. They don't need a Ministry Toolkit account. The link works once and expires in 7 days.
Step 2: Map grades and schools
Once connected, check the Grades mapping (each grade to CCB's grade name) and click Save grades. If you use school choices on welcome links, map Schools too.
Step 3: Sync
Open any tool and click Sync, or turn on Auto-Sync so it runs on a schedule.
Churches using a CCB API user
Workspaces set up before the ChMS API connected with a CCB API user (username and password). That still works and nothing needs to change. If a workspace has both, syncing uses the API user.
To set one up, click Use a CCB API user instead on the CCB settings page. In CCB, click the gear icon, then API > Users > Create API User, and turn on the services for the tools you use:
| Tool | Services to turn on |
|---|---|
| Everyone | individual_profile_from_id, search_list, saved_advanced_search_list |
| Sign Ups | form_responses |
| Follow Up | execute_search, execute_advanced_search, group_profiles, group_participants, attendance_profiles, event_profiles |
| Attendance | event_profiles, attendance_profiles, group_participants, group_profiles, group_profile_from_id, execute_search, execute_advanced_search |
| Groups | group_profiles, group_profile_from_id, group_participants, add_individual_to_group, remove_individual_from_group, update_group, manage_group_leaders |
| Volunteers | group_profiles, group_participants, add_individual_to_group, remove_individual_from_group, individual_search |
| Attendance First Visits | individual_search, create_individual, add_individual_to_group |
| Sign Ups check-in | create_event, create_event_attendance, group_profiles |
Then fill in the subdomain, API Username and API Password and click Test Connection. Save only stores the fields. It doesn't check them.
Common questions
CCB says I can't approve the connection. Only the Master Administrator, or someone who can edit system wide settings, can approve it. Use Send a link instead and send it to them.
Test Connection fails (API user).
Check the subdomain is only the first part (no https://, no .ccbchurch.com). Check the username and password. Make sure the API user has search_list turned on.
Sync History shows "110 Service Permission" (API user). The API user is missing a service. Look at which step failed, find the matching tool in the table above and turn on the missing service in CCB.
Does it change my CCB data? Only when you use a feature that's built to write: pushing volunteers or a group roster to a CCB group, Groups' two-way roster sync, sending check-in attendance to a CCB event and First Visits creating new people with their grade and school. Everything else only reads.
How do I disconnect? Click Disconnect on the CCB settings page. An API user has no disconnect button: disable the API user in CCB instead. Your data already in Ministry Toolkit stays.
Where do I see what happened in a sync? Workspace Settings > Sync History. See Syncing with CCB.
