Positions

Positions is your team structure: every service, area and position, how many people each needs and who's in them. Anyone can look. Administrators and Ministry Leaders can change it.

The top bar shows how many spots are needed, filled, incoming (people onboarding toward a spot) and open.

Start from a template

If you have no services yet, click Start from a template.

  1. Pick the closest setup: Kids, Students, Worship & Production or Guest Services.
  2. Choose to add it to existing services or Create new services, with a name, day and time for each.
  3. Rename anything, set a spot to 0 to leave it out or Skip a whole area.
  4. Click Create structure.

Templates only add. They never change what you already have. Once you have services, use the Templates button in the top bar.

Build it yourself

  1. Click Add Service. Fill in the Name, Day, Meeting time and Location.
  2. Hover the service and click the add area icon. Name the area, like "Check In".
  3. Hover the area and add a group (optional) or a position.
  4. For a position, fill in the Name (name the job, not the person), the Group it's in, how many are Needed and any Notes.

Areas, groups and positions can have their own Schedule (like "1st & 3rd Sundays"). If they don't, they use the one above them.

Generate lots of groups at once

For something like small groups by grade and gender, hover an area and click Generate groups.

  1. Split by your first list, like "6th, 7th, 8th".
  2. And split by a second list, like "Boys, Girls".
  3. Set Groups each, a label (like "Group") and Leaders each.
  4. Check the preview and click Generate.

Duplicate

Open a group or position and click Duplicate to copy it with the next number (Room 3 becomes Room 4).

Read the board

Each position shows people as avatars:

  • Green: active volunteer.
  • Blue: onboarding toward this spot.
  • Gray: a prospect you're recruiting for it.
  • Dashed +: an open spot.

The count badge is red when nothing is filled, amber when partly filled and green when full.

At the bottom:

  • Active volunteers without a spot: people serving but not placed.
  • In recruiting or onboarding without a spot.
  • Snoozed in onboarding.

Place people

  • Drag someone from the bottom lists onto a position.
  • Drag a placed person to another position to move them.
  • Click an open spot (the dashed +) to pick someone.
  • Click the x on an avatar to take them out.

Placing an inactive person makes them active again. Dragging a prospect or onboarding person changes the spot they're headed for.

Linked groups

A link icon next to a position means it's linked to a group in Groups. Active volunteers placed there become that group's co-leaders and can see the group in the Serve app.

Delete

Deleting can't be undone:

  • Service: everything under it, and the placements on it.
  • Area: every position in it, and the placements on it.
  • Group: positions inside stay, but become ungrouped.
  • Position: anyone placed on it loses that placement.
