Payment plans

A payment plan splits a family's balance into smaller payments before the due date. It's a schedule and reminder, not an automatic charge. Families still pay each installment through your payment form.

Families set up plans themselves on their Family Portal. Staff can't create or cancel a plan for them.

What the event needs

  • Tracked payment mode.
  • A Payment Due Date at least 14 days away.
  • A payment form with a link attached, so families have somewhere to pay. See Forms.

What families do

  1. On their portal, they tap Payment Plan on the event.
  2. They pick one of the options shown, like "$150, 3 payments". Payments are spread evenly from today to the due date.
  3. They review the schedule and tap Confirm Payment Plan.

They can see each installment as Paid or Upcoming, and tap Cancel Plan to stop it. One plan per family per event.

What staff see

  • Registrant > Finances: the plan and each installment.
  • Families: the plan with a Mark Paid button on each installment.

When you record, move, refund or delete a payment in Sign Ups, installments are ticked off in order and any remaining amount is spread over the unpaid installments.

Payments that come in from CCB don't tick off installments on their own. Click Mark Paid on the family's page.

Reminder emails

The Payment Plan Reminder email goes to the family in the 3 days before each installment is due, at most once a day. Edit it under Settings > Email Templates.

For reminders to go out, workspace email must be set up and test mode turned off. Reminders are sent while someone on your team has Sign Ups open, between 7am and 9pm Eastern.

Common questions

The family doesn't see Payment Plan. Check the event is Tracked, has a due date at least 14 days away, the family has a balance and they don't already have a plan.

A family paid but the installment still shows unpaid. Click Mark Paid on the installment in Families.
