Placements

Placements is a drag-and-drop board for putting students into groups. It lists students who came to your check-in (or filled out a sign-up form) but aren't in a group yet.

What it needs

Placements works with group types set to Auto from a check-in with a check-in picked, and at least one group. Set that up in Settings > Group types.

Pick what you're placing

At the top right:

  • Type: which group type (if you have more than one).
  • Season: the season you're placing for, or All groups.
  • Seen since: how far back to look for students. It starts at the season's start date.

A number next to Placements in the sidebar shows new faces waiting to be placed.

The unplaced list

On the left is everyone who came to check-in in that time and isn't in a group of this type for the season. Leaders and students without a grade aren't listed.

  • New faces shows people seen recently. Everyone shows the whole list.
  • Filter by gender, grade or whether they filled out the form.
  • Each card shows visits, grade, when they were last seen and their group last season.
  • Hover a card and click Just visiting to hide someone. They come back if they check in again.

Last season's students show here in a new season until you roll their groups over. See Roll over a season.

Place students

  • Drag a student onto a group.
  • Drag between groups to move them.
  • Drag back to the list, or click the x, to take them out.

Students land as Not yet active unless they've already come enough weeks in a row. The group type sets how many (Add after).

A student can only go into a group that matches their grade and gender. If a drop is refused, check their grade.

The bar across the top shows how full your groups are, based on the type's Largest target size.

Auto-fill

Click Auto-fill to place everyone showing in the list.

  • Students with the most visits get spots first, then form respondents.
  • Friends stay together where they fit.
  • Students go back to last season's group if it fits, otherwise the smallest group that does.
  • Groups aren't filled past their target size.

Check the summary and click Place them.

Friend requests

Icons on a card show whether a requested friend is in the same group. Double-click a student's name to confirm or dismiss matches, or add a friend by hand.

Sign-up forms

Connect a church database form (like a "Join a small group" form) so its answers show on students' cards.

  1. Click Connect a form.
  2. Paste the form's share link and click Load questions. The form needs at least one response.
  3. Pick the Friend request question and Grade question (or None). The grade answer only fills in grades for students who don't have one.
  4. Tick the answers to Show on student cards.
  5. Click Connect.

Answers come in with each sync. You can connect more than one form.

Needs a match

If a form answer can't be tied to a person automatically, it goes to Needs a match. Pick the student and click Match. If they're not in your directory, click Add as new person. If the answer is junk, click Dismiss.

Common questions

A student I expected isn't listed. They may already be in a group of this type, have no grade, lead a group or be outside the Seen since date.

"Doesn't fit" when I drop a student. Their grade or gender doesn't match the group. Fix their grade, or the group's grades.

Not yet active students never become active. That happens during scheduled Auto-Sync, not the Sync button. Click Make active on the roster to do it by hand.
