Manage boards
Create boards, set up stages and decide what happens when someone is checked off. You need to be an Administrator, or a Ministry Leader of the ministry you're in.
Go to Follow Up > Manage at the bottom of the sidebar.
Create a board
-
Click Add Board.
-
Pick a starting point:
Template Stages it creates First-Time Guest Follow-Up New Guest, Send Card, Text / Call, Connected At-Risk Member Recovery Flagged, Reached Out, Returning Volunteer Onboarding Interested, Application, Training, Active Start from Scratch No stages -
Name the board. Rename or remove any stages you don't want.
-
Click Create Board.
The board is created in the ministry you're currently in.
Add and arrange stages
- On Manage, click the board to open its stages.
- Type in New stage name... and click Add.
- Use the arrows to change the order.
The first stage you ever add becomes the entry stage, and it can't be changed later. Add your entry stage first.
Set up a stage
Click a stage to open its settings. Some settings save as soon as you change them. Others need Save, so always click Save before closing.
Basics
- Name, Column header color and Description. The description shows when someone hovers the info icon on the column. Write the rules there, like "Mail a card within 3 days."
- Done column collapses the stage so finished cards stay out of the way.
Check-off
Check-off decides what happens when someone clicks the check circle on a card.
- When checked...
- Do nothing (log only)
- Move to waiting area (also turns on the Waiting section)
- Move to another stage (then pick the stage)
- Remove from board (permanent)
- Activities to log: click Add Activity and describe it, like "Sent Welcome Card". It's logged every time someone checks off a card here.
- Clearstream list: click Connect a list and pick a list. Checked-off people are added to it, which can start a text workflow in Clearstream. Needs Clearstream connected.
Dragging a card never runs check-off. That's on purpose, so you can move people you handled another way.
What shows on cards
- Waiting section: adds a Waiting area at the bottom of the column.
- What shows on cards: pick extra details like Roster Status, 1st Attendance, Last Attended or # Times Attended. Attendance details need a CCB group attached to the board.
- Print labels: tick Show print button on column, then pick Address or QR Code and the label format.
Automation
- Auto-log activity: log something automatically when a person Enters this stage or Leaves this stage. Each rule runs once per card.
- Auto-assign to: assign cards to someone when they're dragged into this stage.
- Auto-add from attendance: shows which Attendance groupings send drifting people here. You set that up in Attendance, not here. See Care.
Pull people in from CCB
Under Auto-add people from CCB, pick a CCB saved search. Every time the board syncs:
- people in the search who aren't on the board are added to this stage
- people already on the board move forward to this stage if they're behind it
- people are never moved back or removed
If someone is in several saved searches, they go to the stage furthest to the right.
Click Sync on the board to run it now, or turn on Auto-Sync.
Board settings
Click the gear next to the board's name, or the pencil next to it on Manage.
- Ministry, Name, Description, Icon and Color.
- Manual / Automated: Automated hides the + button so people only come in from CCB and Attendance.
- CCB Group (Attendance): click Attach Group and pick the CCB group these people attend. Cards can then show attendance dates, and the card's attendance strip fills in.
- Attendance Integration: shows which Attendance groupings send people to this board.
Auto-remove on attendance is in the settings but doesn't remove anyone yet. Move people to Done yourself when they come back.
Preferences
The Preferences tab sets the Address Label Format for printing. It's saved on this computer only.
Delete a stage or board
- Delete a stage: open the stage and click Delete, then Confirm Delete. Cards in that stage disappear from the board. Move them to another stage first.
- Delete a board: click the trash icon next to it on Manage. Every stage and card on the board is deleted. This can't be undone.
