Follow Up

Follow Up gives each process its own board, like "First-Time Guests" or "At-Risk Students". Every person is a card. Cards move left to right through stages until you're done with them, so you can see at a glance who still needs a card, a call or a text.

How a board is laid out

  • Stages are the columns. The first one is the entry stage, where new people land.
  • Done stages collapse into a thin strip so finished cards stay out of the way. Click the strip to open it.
  • Some stages have a Waiting section at the bottom for people you've reached out to and are waiting to hear back from.
  • If a stage has an info icon next to its name, hover it to read that stage's rules.

Every board you can see is listed in the left sidebar. Boards belong to a ministry. If a board is missing, switch to its ministry.

Work the board

Check someone off

Stages can put a check circle on each card. Click it when you've done that stage's job. Depending on how the stage is set up, checking off can:

  • log what you did (like "Welcome card sent")
  • move the card to the Waiting section, to another stage or off the board
  • add the person to a Clearstream text list, which can start a text workflow

Drag a card

Drag a card to another column to move it without running the check-off actions. Use this for people you handled another way.

To move several cards, Cmd-click (Ctrl-click on Windows) each one, then drag.

Open a card

Double-click a card to open it. You'll see:

  • contact info for the person and their parents
  • a stage menu to move the card
  • who it's assigned to (click Unassigned to pick someone)
  • recent attendance, if the board is linked to Attendance
  • the Activity log

To log a call, text or note: under Activity, click Add, pick the type, type what happened and click Add. Activity is saved to the person, so it also shows in Attendance and on other boards.

Snooze someone

Snooze people you want to skip for now, like a family that's traveling for a month.

  1. Open the card and click the snooze icon at the bottom.
  2. Type a Reason and, if you want, a date to Resume tracking on. Leave the date blank to snooze until you undo it.
  3. Click Snooze.

Snoozed cards are hidden. Click the snooze icon with a number in a column header to show them. To undo, open the card and click Unsnooze.

Snoozing applies to the person everywhere. Someone snoozed in Attendance is also hidden on Follow Up boards.

Work on many cards at once

Select cards with Cmd-click or the checkbox in a column header. A bar appears with Check, Assign, Log, Snooze and (for admins) Delete.

If a stage has a print icon in its header, click it to print address labels or QR code labels for everyone in that column.

  • Address labels use the parents' names and the family address. People with no address are skipped.
  • QR labels use the QR Code URL on each card and print on Avery 94103.
  • Use Start at position to skip labels already used on a half-used sheet.
  • Allow pop-ups for Ministry Toolkit, since printing opens a new window.

How people get onto a board

  • From a CCB saved search. A stage can pull in everyone in a saved search each time you sync. See Manage boards.
  • From Attendance. First-time visitors and people who start drifting can land on a board automatically. See First-time follow up and Care.
  • By hand. Admins can click + in a column header, search for the person and click Add.

Taking people off a board

Nothing takes cards off a board automatically. When someone is done, move them to a Done stage. That keeps a record and stops them being added again.

Admins can also open a card and click the trash icon to remove it. Removing is permanent. Notes and calls you logged stay with the person.

Common questions

Someone left the saved search but is still on the board. Syncing only adds people and moves them forward. It never moves them back or removes them. Move them to Done yourself.

I removed a first-time guest and they came back. Opening that date in Attendance > Events adds first-timers who don't have a card. Move finished guests to a Done stage instead of removing them.

The Sync button is grayed out. The board needs at least one stage with a CCB saved search, or a CCB group attached to the board.

Attendance dates on cards are blank. Attach a CCB group in the board's settings. The Sync button refreshes board attendance at most once a week. Auto-Sync refreshes it every run.

I don't see the + button. Only admins can add people by hand, and it's hidden on boards set to Automated.

My check-off didn't send a text. Clearstream skips anyone without a phone number on file. Check the person and their parents have a phone number.
