Reading your numbers
The Dashboard, Events and Comparison pages show how attendance is going. Pick a grouping in the top bar first, or All.
Dashboard
Pick a time range at the top: 3 months, 6 months, 12 months or All time.
- Avg Attendance: the average headcount per meeting.
- Growth: this period compared with the same length of time right before it.
- Returned to Active: of people who drifted, how many came back.
- Guests Returning: of first-time guests in this period, how many came again.
The last two only show once Care has enough meetings in the season.
Two action cards help you catch people:
- Needs Follow Up: drifting people who aren't on a Follow Up board yet. Click Add all to follow-up board.
- First-Timer Follow Up: people who came once 2 to 4 weeks ago and haven't been back.
Further down: Attendance Trends, Care and Grade Breakdown. Click a heading to open or close it.
Events
Events shows one meeting date at a time. Use the arrows or the date menu in the top bar to move between dates.
The cards
- Total Attendance compared with last week.
- Active Roster and Non-Roster: how many attendees are regulars (shows when Care is on).
- Leaders: leaders who were there. They aren't included in the total.
- First Time: first-ever visit to this grouping.
- One card for each grade range and each criteria you set up.
Who to notice
- Welcome: first time ever.
- Welcome Back: back after 10 or more weeks away.
- New Active Roster: just became a regular.
- Returning to Active Roster: came back from inactive.
- Check In On: people who started drifting or went inactive at this meeting. A check mark means someone already logged a call, email or note for them.
Click N people attended to see everyone who came.
Edit a meeting
Click the pencil next to the date to:
- Headcount Override: type the real total if CCB's number is wrong.
- Special Event: marks it with a star on Comparison.
- Ignore this event: drops it from charts and Care but keeps the records.
- Event Label: like "Easter" or "Back to School".
- Notes.
Changes save right away.
Meetings on the wrong day
If you set a meeting day, a banner shows meetings recorded on other days. That's usually a leader entering attendance late. Click Ignore it to drop the date from charts, or set up Meeting day so late entries move automatically.
One person's attendance
Click anyone's name to see their status, recent attendance and season history. You can mark them present or absent for the last 12 meetings. This only changes Ministry Toolkit, not CCB. A later sync may add a CCB record back.
Comparison
Choose Week / Week or Year / Year. Year / Year lines up the same week of the year, so the second Wednesday in September sits next to last year's second Wednesday in September.
Use the chips to look at one criteria or grade range. Grade numbers only count people checked in by name with a grade, so they'll be lower than the full headcount.
Click any row to open that date on Events.
Why numbers don't match CCB
- Leaders aren't counted in the total.
- People in two groups on the same night count once.
- Headcount overrides replace the total.
- Ignored meetings and excluded groups are left out.
- Late entries move to your meeting day if you set one.
- Grade breakdowns only count people with a grade.
- A big first sync brings in new people 50 at a time. Sync again to pull the rest.
