Care

Care watches each person's attendance and tells you who's becoming a regular, who's slipping away and who needs a call this week.

What the statuses mean

StatusMeans
Not yet ActiveHasn't come often enough to count as a regular yet. Most guests start here.
ActiveA regular. Came to enough of the recent meetings (by default 4 of the last 5).
DriftingWas Active, then missed several meetings in a row (by default 3).
InactiveMissed a lot in a row (by default 9).
RemovedNo longer in the CCB group.
SnoozedYou've paused tracking for them.

A few rules that explain most "why is this person..." questions:

  • A miss is a missed meeting, not a missed week. Weeks you didn't meet don't count against anyone.
  • You have to be Active before you can drift. A guest who came once and never returned stays Not yet Active.
  • One visit doesn't bring someone back from Inactive. They need to come often enough to be Active again.
  • People with no grade in Ministry Toolkit aren't tracked. They're treated as graduated. Kindergarten and preschool still count.

Turn on Care

  1. Go to Settings, pick a grouping and open Tracking.
  2. Turn on Care.
  3. Set Call someone drifting when they miss [N] in a row. The line below shows how many people would be drifting at that number and one either side, so you can pick a number that gives you a list your team can handle.
  4. Open Advanced to change when someone Becomes Active, when they go Inactive and when to Escalate to staff if a group leader hasn't reached out.
  5. Click Save under Follow Up Integration.

That Save button saves your Care numbers too, even if you don't use Follow Up. Nothing else saves them.

Connect Care to Follow Up

Under Follow Up Integration, pick a Board, a Drifting stage and an Inactive stage, then click Save.

When someone starts drifting, the next sync puts them on the Drifting stage. If they already have a card on that board, it moves there.

Seasons

Seasons tell Care which stretch of time to pay attention to. Everyone starts fresh at the beginning of each season, and Care rests between seasons (like summer) so nobody is marked drifting while you're not meeting.

  1. Go to Settings, pick a grouping and open Seasons.
  2. Click + Add season.
  3. Type a Name like "Fall 2026" and pick when it Starts and Ends.
  4. Click Save season.

Good to know:

  • Meetings between seasons still count in your headcounts and charts.
  • With no seasons, or only past ones, every meeting counts toward Care.
  • Early in a season, nobody can be Active yet because there haven't been enough meetings. A banner shows how many meetings are left before Care has enough to go on.

Next steps

Care > Next steps is this week's to-do list, most important first. Use the chips to filter by Drifting, Guests, Leaders and Wins.

You might see things like:

  • drifting students with no leader who haven't been contacted
  • leaders who haven't logged anything for a drifting student
  • first-time guests who never came back and were never contacted
  • people who were regulars last season and haven't shown up this season

Each item has See them (opens the roster filtered to those people) and Add to follow-up board (adds them to the first stage of your Care board).

Worth celebrating lists wins, like students who started coming again. "Nothing needs you this week." means you're caught up.

Numbers

Care > Numbers shows how well you're keeping people. Pick a season at the top.

  • Kept Engaged: of the people who started drifting, how many came back before going inactive.
  • First Visit, Came Back: of first-time guests, how many came a second time.
  • Time to Win Back: how long drifting people took to return, on average.

Below that, Care & Recovery and First-Timer Journey break the numbers down. Click any row to open those people on the roster.

Roster

Roster lists everyone in the grouping. Use the pills to switch between Active, Drifting, Inactive, Removed, Snoozed and Not yet Active, or search by name.

Each person shows when they were last seen and dots for their last 5 meetings. Click a person to see their last 12 meetings.

Snooze someone

Snooze people you don't want flagged for now, like a student at college for a semester.

  1. Click Snooze on their roster card (or in their person details).
  2. Type a Reason and, if you want, a date to Resume tracking on.
  3. Click Snooze.

They drop off every Care list and Follow Up board until the date passes or you click Unsnooze.

When group leaders do the reaching out

If your church uses the Groups tool and a group type has Leaders reach out first turned on, drifting students in those groups go to their leader's Care list in the Serve app first.

On the roster, those students are tucked behind Show N with their leaders. They come back to staff when:

  • they're not in a group
  • the leader hasn't reached out for a while
  • the leader tried twice with no reply
  • the leader says they're not coming back

Common questions

Care cards are empty or hidden. It's early in the season or between seasons. Check the banner at the top.

Someone started drifting but didn't get a Follow Up card. Cards are only created on the sync where someone first starts drifting. To catch up, use Add all to follow-up board on the Dashboard.

The All view uses different Care numbers than my grouping. With All selected, Care uses the first grouping's settings.

Dashboard and Numbers show different "came back" numbers. The Dashboard updates when you sync. Numbers is worked out live. Sync and they'll line up.
